Privacy Policy

This Privacy Policy explains how ReelVenue Inc. ("ReelVenue," "we," "us," or "our") collects, uses, and shares information when you use the WrapToScreen application and related services (the "Service") — the tool that carries a finished film from picture lock to premiere. By using the Service, you agree to the practices described here.

1. The short version

• We store links and records, never your video. WrapToScreen is not a video host. A cut, a screener, a trailer, a poster, and a production still are all stored as an https:// link to wherever your file already lives — Vimeo, Google Drive, your own server. Your media never passes through us.
• A checksum is computed in your browser. When you fingerprint a master, WrapToScreen reads the file locally and stores only the 64-character SHA-256 digest. The file itself never leaves your machine.
• One account across the SlateScreen Suite. WrapToScreen signs you in through the same Google Firebase project as SetDots, so a single account works across the Suite. That is deliberate, and it means your sign-in identity is shared between those products.
• You can take your data out, and you can have it deleted. See Your data: export and deletion.

2. Information we collect

Account information

You create an account with Google sign-in or with an email address and password. We receive your email address and the account identifier your sign-in produces; with Google sign-in we also receive the basic profile that Google returns. Your email address is shown to you in the app and is used to attribute your changes on titles you share (see Activity records below). Your account identifier — what the app calls your member code — is what a title owner uses to add you as a collaborator.

Film content you enter

Everything you create lives under a title, which is one film. A title and the records under it may include:

• The title itself — name, year, logline, whether it is archived, which SetDots project it is linked to, and its press details.
• Cuts — a label, lock status, runtime, notes, and an optional SHA-256 checksum.
• Targets and submissions — festivals, markets, labs, and grants you are aiming at, their deadlines and requirements, and what you submitted, what it cost, and how it turned out.
• Deliverables — the checklist for a given target, with status, notes, and optional checksums.
• Post schedule, cue sheet, and budget lines — the steps, music cues, and costs you record for the film.
• Binder entries — your chain-of-title documents and, on a linked title, a reference to each signed release held in SetDots.
• Screeners and press kits — described in their own sections below, because both are shared outside your account.
• Activity records — a per-title log of what changed, when, and the email address of the person who changed it. Everyone with access to that title can read that log.

Other people's information you enter

Some of what you put into a title is personal information about people who are not you: a press contact's name, role, and email address; a collaborator's member code and the label you give them; the names, roles, and departments of the crew imported from SetDots. You are responsible for having the right to enter that information and, where you publish it, to publish it (see section 5).

Information collected automatically

• Screener view logs. When someone opens a screener link, we record the time of the view and a truncated browser user-agent string (the first 180 characters of what the browser reports about itself). That is all. We do not record the viewer's IP address, name, email address, or location, and we do not track playback — the film plays on whatever service hosts it, not on our page. The owner of the screener sees a view count and the date of the most recent view.
• Anonymous sessions on public pages. Opening a screener or a press-kit link creates an anonymous Firebase session in the visitor's browser so the page can read that one document. It is not linked to a name or an email address, and no account is created.
• Operational logs. Our infrastructure provider keeps the ordinary request and error logs needed to run and secure the Service.

WrapToScreen does not run advertising trackers, and it does not load an analytics script in your browser.

3. Collaborators on a title

You can share a title with other people as an editor (who can change the film's records) or a viewer (who can see everything and change nothing). Collaborators are added by member code — the person copies theirs from the app and gives it to the title's owner, who adds it with a role. WrapToScreen does not send an invitation email, and adding someone does not disclose their email address to you; their email becomes visible to everyone on the title once they make a change, because the activity log records who did what.

Only the owner of a title can add or remove collaborators. There is no way to grant yourself access.

4. Screeners

A screener is an unlisted page at a long random address. The address is the credential — anyone who has the link can open the page and reach the viewing copy behind it, whether or not you meant to give it to them. WrapToScreen does not encrypt, watermark, or otherwise prevent a viewer from copying or re-sharing your film; what it gives you is a link you can end, an optional expiry date, the recipient's name displayed on the page, and the view log described above. Screener pages ask search engines not to index them, and deleting a screener stops that link working.

5. Press kits (EPK)

Publishing a press kit creates a page at a long random address containing what you chose to put there: the film's name, year, logline and synopsis, runtime, poster and trailer links, festival laurels, production stills, the crew credits (name, role, and department only), and your press contact's name, role, and email address. That page is readable by anyone who has the link — treat it as public, and get the press contact's agreement before you publish their email address. By default a press kit asks search engines not to index it; you can turn indexing on yourself, which invites it to be found. Deleting the press kit takes the page down.

6. The SetDots bridge

If you link a title to a SetDots project you administer, you can import that production's record into WrapToScreen. The import reads the project, its shoot days, and each day's personnel, signed releases, and photo board, and writes into your title:

• Credits — each crew member's name, role, department, and the number of days worked, merged across the shoot.
• Binder entries — one per signed release: the signer's name, the form type, the date signed, who countersigned, and a pointer to the signed record in SetDots. The release document itself stays in SetDots; we reference the evidence, we do not copy it.
• Stills — the photo-board image links, and their captions.
• Production notes — shoot-day count and span, crew count, release count.

The import also publishes a screen credit back to crew members who have claimed their own SetDots personnel record: the film's name and year, their role, department, and days worked, so the credit they earned appears on their profile. The match is made on their account identifier, never on their name, and nobody who has not claimed their record gets a credit published. No email addresses are included in a screen credit, and the SetDots account identifiers carried in an import are kept in the private import record — they are never published to a press kit.

7. How we use information

• To provide, maintain, and improve the Service.
• To authenticate you and enforce who may read and write each title.
• To show a title's owner and collaborators what has changed, and to show a screener's owner that it was watched.
• To respond to support requests and to communicate with you about your account.
• To manage a subscription, if you buy one.
• To detect, prevent, and address fraud, abuse, and security problems.

8. Service providers and sharing

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We do rely on vendors who process information on our behalf to run the Service:

• Google Firebase (Google LLC) — authentication, the Firestore database, and web hosting. Substantially all of the data described in this policy is stored in a Google Firebase project operated by ReelVenue Inc.
• A payment processor — if and when you buy a subscription. Payment is handled by that processor; we do not receive or store your full card or bank details, only a subscription identifier and your plan status. The processor is named at checkout.

The Google Firebase project WrapToScreen uses is shared with SetDots, which is what gives the SlateScreen Suite one account. Access between the products is controlled by database security rules: a SetDots record is not readable through WrapToScreen, or the reverse, except where you deliberately import it as described in section 6.

Links you store — to a viewing copy, a trailer, a poster, a still — point at other companies' services. When you or a viewer opens one, that company receives the request under its own privacy policy. We have no control over, and no visibility into, what they do with it.

We may disclose information if required by law, to comply with legal process, or to protect the rights, property, or safety of ReelVenue, our users, or the public. If we are ever part of a merger or acquisition, information may transfer as part of that transaction.

9. Data retention

We keep your information for as long as your account is active or as needed to provide the Service. Archiving a title does not delete anything: an archived film keeps every record and stays readable and exportable — that is the point of it. Deleting a title, a screener, or a press kit removes those records. Some information may be retained where required by law or for legitimate business purposes such as recordkeeping and fraud prevention, and backups may persist for a limited period after deletion.

10. Your data: export and deletion

You can take your record out, and you can have it erased, without asking us:

• Export a single title. Any title can be exported to a JSON file (w2s-title-export/1) containing everything WrapToScreen holds for that film — the title, cuts, targets, deliverables, submissions, cue sheet, post steps, budget, binder, press kit, imported SetDots record, and activity log. Screener tokens are deliberately redacted from the file, because a token is a live credential and exports get emailed.
• Download my data. From your account controls in the app, export your whole account: every title you own, in that same format, plus your account-level records.
• Delete my WrapToScreen data. Also from your account controls, under “Your data”. This permanently deletes the titles you own and everything under them — cuts, targets, deliverables, submissions, binder, press kits, screeners, and activity — and takes down any screener or press-kit link published from them. Titles owned by other people that you were added to are not deleted; your membership is released and those films stay with their owners. Any active WrapToScreen subscription is cancelled first, so a deleted record is not billed again. This cannot be undone.
  Your SlateScreen sign-in is not deleted by this control, and neither is anything held by SetDots or ReelVenue. One account serves all three products, so removing the sign-in itself would delete another product’s work from a button in this one.

Because one sign-in serves the whole SlateScreen Suite, deleting your WrapToScreen data does not by itself remove data held by another Suite product. Use that product's own deletion control, or email us and we will handle all of it together.

11. Your California privacy rights

If you are a California resident, you have the right to:

• Know what personal information we collect, use, and disclose;
• Request access to, or a copy of, your personal information;
• Request correction of inaccurate personal information;
• Request deletion of your personal information;
• Not be discriminated against for exercising your privacy rights. We do not sell or share personal information as those terms are defined under the CCPA/CPRA.

The tools in section 10 exercise the access and deletion rights immediately and by yourself. You can also email support@setdots.com. We will verify your request against your account information before responding, and will respond within the timeframes required by law.

If your personal information is in someone else's title — you are a press contact, a collaborator, or a crew member named in imported credits — we will honor your request, and we may need to route it to the film's owner, who controls that record.

12. Security

Connections are encrypted, access to each title is enforced by server-side database rules rather than by the app alone, and screener and press-kit addresses are generated from 16 bytes of cryptographic randomness. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Anyone holding a screener or press-kit link can use it: share those links only with the people you intend to reach, and delete a link when it has done its job.

13. Children's privacy

The Service is intended for professional use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

14. International users

The Service is operated in the United States. If you access it from outside the U.S., you consent to processing your information in the United States, where privacy laws may differ from those of your jurisdiction.

15. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, by additional notice within the Service.
